UltraKey 5.0 and Data Server
Startup Errors
- When I start UltraKey it says that it's local management directory is not present. How do I fix this problem?
If the local management directory does not exist, UltraKey will copy it to the following location:
Windows: Documents and Settings\All Users\Documents
Macintosh: Users: Shared
All users should have read and write access to this location, but in rare cases they do not. This causes the reported error at startup.
To fix this problem, do not reinstall. Instead check the ownership and privileges for the location and make sure all users have read and write access.
For Windows XP follow these steps:
1. Go to C:\Documents and Settings\All Users
2. Right click on 'Shared Documents'
3. From the popup menu, choose 'Sharing and Security...'
4. In the 'Shared Document Properties dialog that is displayed, click on the 'Sharing' tab
5. In the 'Network sharing and security' area of the dialog, if you see 'If you understand the security risks...' click on it.
a) In the Enable File Sharing dialog that appears, click on the 'Just enable file sharing' radio button, and click OK
b) The 'Network sharing and security' area will change
6. The 'Network sharing and security' area should display 'Share this folder on the network' checkbox.
a) Check the checkbox 'Share this folder on the network' so that it is checked.
b) The suggested share name will be 'Documents'. Leave it as the suggested name.
c) Check the checkbox 'Allow network users to change my files' so that it is checked.
7. Click the 'Apply' button to apply the changes and close the 'Shared Document Properties' dialog.
Now, you should be able to start up the applicaton UltraKey. It will be able to create the necessary files located inside the 'Shared documents' including a folder called "UltraKey5".
Setting up the Data Server
- How do I setup my Data Server?
Installing and Setting up the Data Server, step by step:
Instructions for installing and setting up the data server can also be found in the Data Server Guide .
1. Install the Data Server software on a Windows XP, 2000, or 2003 server.
Download the UltraKey 5.0 Data Server Installer or put the data server installer disk in the disk drive of the server machine.
Double-click on the downloaded installer to start the installation process.
or,
If using a CD, the CD installer will automatically start.
Follow the instructions on the installer to install the data server on the Windows server or XP machine. The Data Server may be installed on any physical drive on the server. Do not install to a mapped drive.
2. Activate the Data Server
When the installation is complete, the UltraKey 5.0 Data Server Remote application starts. Click the Activate button on the Remote application dialog.
Enter the activation code issued with the Data Server license. Use the code on the license letter. Click OK.
If the code is a good code, a dialog appears asking for the site name, city and state. Fill in the information. The site name must be at least 10 characters. All fields must be filled in. The state field can be abbreviated. Click OK.
The license information is displayed on the dialog. To change the activation information or upgrade the license click the Activate button. The data server must be stopped for the Activate button to be available.
2. Set necessary Data Server preferences.
Click on the Preferences button to set the following preferences:
Data Server Name: Click the Server Settings tab. Enter the name on the Data Server name field that you wish to be displayed in the Server/Host selection dialog when students are using UltraKey.
The Server Settings tab also contains the setting for the location of the data folder. If you wish to move the data folder from the installed location, refer to the Data Server Manual for complete instructions.
External IP: The External IP tab contains the IP address of the network firewall through which UltraKey will connect to the Data Server if users will be accessing their records from outside of the LAN. This feature is not necessary to enable if users will not be connecting to the data server through the Internet from home.
This feature allows the network administrator to set an alternate IP address that UltraKey may contact the data server through. The copy of UltraKey can then try the alternate IP address if the computer (a laptop or portable) is moved outside of the LAN without having to disclose the IP address to the user. See the Data Server Guide for further information on this feature.
3. Take note of the Server Key.
The Server Key is a set of numbers that are used as the initial password, the first time the administrator connects to a new data server. This number is only displayed on the data server remote dialog preferences. It also can be used as the Admin password if the Admin password is lost.
The Server Key will change if the activation information is changed.
4. Start the Data Server.
Click OK on the Preferences dialog to accept changes to the Preferences. Then click the Start button to start the data server. The data server remote dialog should say the data server is "up and running".
Click Close to close the data server remote dialog. Log out of the server. The data server will continue running as long as the server is on and connected to the network.
5. Install UltraKey 5.0 on each computer or on the computer that will be imaged. Before imaging UltraKey 5.0 should be activated and a default host should be set. On a Mac OS X network, UltraKey can be installed and setup on one system, then sent to the other systems with the desktop administrator. The Windows version may be run from a Windows or Novell server. See Network Installations topic in this FAQ for more information.
6. Start UltraKey and Activate using the activation numbers from the UltraKey 5.0 License letter.
7. Click Management button to enter management.The Server/Host selection dialog appears. Click the Search Network button to find the data servers on the LAN. If working from outside the LAN that the data server resides on, click the Specify Server button and enter the IP address of the firewall through which you are accessing the data server. Note: for this option the firewall must be setup to allow UltraKey data. See the Data Server Guide for more information.

9. A dialog appears asking for the Server Key. Enter the Server Key displayed in the data server preferences. Click OK.
10. The Host Setup Assistant starts. The assistant will guide you through setting a new admin password, naming the first data server host, creating host manager accounts, and setting the backup. Click Done at the end.
11. The General management screen for the data server admin appears. Click on Server Settings to create more hosts or host managers or change other settings you set in the assistant. Click on Class Management to create new classes and class managers.
12. Set the default host for students. Each copy of UltraKey can have a default host set. When a student clicks the Next button they will be taken directly to the default host class list and will not have to select the host from the Server/Host selection dialog. To set the default host, on the Server/Host selection dialog, select the host in the list, then click in the check box next to "Always use this host". This will select the host as the default host.
The default host setting is saved in the UltraKey5.config file which resides:
On Mac: in the machines Library:Preferences folder
On Windows: in the Documents and Settings\All Users\Application Data\UltraKey5 folder
These files can be sent to other computers to create the same default host settings. The defautl host should be selected before imaging of a workstation.
Activating UltraKey 5.0
- How do I activate a trial copy
- How do I activate a trial as a fully licensed copy?
- Start the trial copy. A screen appears that offers several buttons.
- Click the Activate button. A dialog appears asking for the activation code. This code is sent to you when you purchase a license.
- Enter the Activation Code and click OK.
- Enter the site name, city and state. The site name must be at least 10 characters or the OK button will not become available.
- Click OK. UltraKey 5.0 is now activated. License details are displayed on the About UltraKey dialog.
- Start the Data Server Remote application.
- Click the Stop button to stop the server.
- Click the Activate button. A dialog appears asking for the activation code. This code is sent to you when you purchase a license.
- Enter the Activation Code and click OK.
- Enter the site name, city and state. The site name must be at least 10 characters or the OK button will not become available.
- Click OK. UltraKey 5.0 Data Server is now activated. License details are now displayed on the dialog.
- UltraKey displays an error when I try to activate it. What should I do?
Activating a Trial of the Data Server:
To activate a trial of the data server, after installation start the Data Server Remote Application. Click the Activate button. This will activate the trial license. A standard Data Server trial license lasts for 30 days. Contact Customer Service for trial extensions.
Activating a Trial of the UltraKey 5.0 Program:
A 3-day school trial or 7-day home edition trial activates automatically when you start UltraKey for the first time.
If you have a trial copy of UltraKey or the UltraKey data server installed and purchase a license, there is no need to reinstall the software. Activate the trial copy as a fully licensed edition by following the instructions below.

Activation failure can happen for several reasons:
The most common reason is that the currently logged in user does not have sufficient privileges to activate UltraKey or UltraKey is being run from a read only volume.
If UltraKey displays an error saying that activation has failed, it is most likely that you are not logged in as a user with sufficient privileges to activate UltraKey. When UltraKey is run for the first time, it should be run by the admin user.
It is also possible that you might be running the copy of UltraKey that is on the CD-ROM. This copy of UltraKey cannot be activated. UltraKey must be fully installed. Install UltraKey and try again.
If the above situations are not applicable, or the error message displayed says the activation number is invalid, then the activation code used is not a valid code. Contact Customer Service for assistance.
Windows 98SE Startup
- I get an error when starting UltraKey on Win98SE and cannot start the program.
If attempting to start UltraKey 5.0.1 on Windows 98 SE you may see any one of a number of error messages indicating that certain dlls are missing.
This error occurs in UltraKey 5.0.1. The problem is fixed in 5.0.2. Download a new installer from the UltraKey 5.0 Installer page . Install UltraKey 5.0 with the new installer.

Using UltraKey 5.0 without a data server
- How can I use records on a network instead of on the workstation?
Some sites using UltraKey 5.0 without a data server may have insufficient student use to warrant a data server, but the school or institution may prefer to have records on a file server instead of on the workstation. This is especially true when hard drive assimilation or re-imaging programs are used.
UltraKey School Edition 5.0.3 and later allow you to opt to use the user's workspace as the saving location. If the user's workspace, My Documents for Windows or the user's Documents folder for Mac is located on a server, then the user workspace option will save the user's record in the user's workspace on the server.
To set the User's Workspace option on each copy of UltraKey:
1. Click the Management button on the Welcome screen.
2. Select Local on the Management Server/Host login dialog. Click Connect.
3. Enter the local manager name and password.
4. In the Local General Management, click the Record Location button. The Record Location dialog appears.
5. Select the Local files are in User's Personal Workspace option. ClickOK.
6. Repeat process on all individual copies of UltraKey
When user's start UltraKey and click Next they will only see UltraKey documents in their own user area. They may freely create new user records that only appear in their own user area.
The User Workspace saving option is not available on Home Editions or any edition with restricted user records.
Network Installations
- How do I install the UltraKey 5.0 program on a Mac OS X server?
- How do I setup UltraKey 5.0 to work from a Windows or Novell server?
We generally do not recommend installing UltraKey 5.0 for Macintosh on a network share. However, UltraKey 5.0 can be dragged to a network sharepoint that mount for students and teachers that will be using the program.
Drag UltraKey 5.0 folder to the network share. Start UltraKey and Activate. Set all privileges to UltraKey 5.0 package and files inside it to Read Only.
It is preferred that UltraKey 5.0 for Macintosh be installed on the individual computers. Installing onto a network share will not make UltraKey save records on a network. For instructions on exporting records to network folders, see "How can I use records on a network instead of on the workstation?" under Using UltraKey 5.0 without a data server.
The UltraKey 5.0 PROGRAM can run from a Windows or Novell server.
Note: UltraKey 5.0 Data Server must be installed on a PC running Windows 2000, 2003, NT, XP or Vista.
On a Windows server, install as you would at a workstation. The installer will automatically start when the disk is placed in the drive. Follow the instructions on the installer to install it to any location on the server.
On Novell server, place the disk into a Windows machine connected to the Novell server with the drive UltraKey will be installed to already mapped. Follow the instructions on the installer. A screen will ask you to select the location for the installation. Select the mapped drive and directory to which UltraKey should be installed.
Hint: If you change the default location for UltraKey in the installer, make sure UKey5 appears at the end of the chosen path. This is so a directory will be created for the UltraKey program.
Workstation Setup:
On each Windows workstation, open the mapped drive or My Network Places and navigate to the UltraKey program directory (UKey5). An application called Netsetup.exe is installed with all school editions of UltraKey 5.0 for Windows. This program installs all necessary support software and a shortcut to the network installation of UltraKey. Double click on Netsetup.exe to start the workstation setup.
Getting Started
- I am a Home Edition user, how do I get started?
- On the Host selection dialog click Local in the host list.
- Click the check box at the bottom of the dialog next to "Always use this host..."
- Click Connect button.
- Click New
- Enter your first and last name
- Enter a password for the record. You can set UltraKey to not require passwords in General Options in Management.
- Select the Challenge level. Challenge level settings can be adjusted in General Options in Management.
- Click Finish. A record is created and the main screen appears.
When you start UltraKey and click Next the Host Selection dialog appears. This dialog allows users to connect to UltraKey hosts throughout the Internet. If you are a Home Edition user, you will most likely want to use records saved on your local computer disk. To set UltraKey to always go to the local files do the following:
Newer versions of UltraKey 5.0 Home Edition have the Local area set as the default and so will go directly to the local files area. To access a data server host, either use a connection key or select Change Host from the File menu.
The Student login screen for the local files appears. To create a new record and get started with UltraKey do the following:
Click the Posture button to learn about Posture. Click the Fingers button to learn proper finger technique and the homerow. Click Lessons to take a lesson and Skill Check to take a skill check. We recommend that you do one or two lessons, then try and pass the corresponding skill checks. Raise the challenge level to make it more challenging and build speed and accuracy.
QuickTime Errors
- When I start UltraKey, I get an error that says QuickTime is not installed, but QuickTime is installed. How do I fix it?
QuickTime is a media playing program created by Apple Computer. It is used by UltraKey as a necessary support program.
UltraKey may report that QuickTime does not appear to be installed or is not installed fully if QuickTime is installed with a minimum or custom installation or if the installation of QuickTime is damaged.
The solution to the problem is to reinstall QuickTime with a full installation. The UltraKey CD contains an installer for QuickTime 6, although this is not the most current QuickTime version, this version works well on all Windows versions that run UltraKey. Reinstall QuickTime using the CD installer or bydownloading an installer from www.apple.com.
UltraKey works with all current versions of QuickTime.
Backup Pausing Data Server
- The Data Server stops and will not restart. How do I fix this problem?
It is possible for the Data Server to pause in preparation for a backup and not be able to restart until the server machine is restarted. This happens because the Data Server is waiting for all pending connections to be satisfied before it runs the backup. If a pending communication does not complete for any reason, the data server may become "stuck" in pausing and not be able to run the backup and restart.
We are working on the problem and a fix will be released in the 5.0.2.60 update. In the meantime, to prevent the data server from pausing, disable the UltraKey Backup task in the Scheduler on the server. Backup server can be restored when the problem is resolved with the update.
Password issues
- When students login UltraKey accepts any password. How do I fix this problem?
This problem happens when UltraKey 4.0 management directories are imported into a host. The password status is recorded incorrectly so the UltraKey data server will ask for a new password to be set, but not record the value.
This problem is fixed in version 5.0.3.75. Download an updater from the support area. Updaters for this version will be available on June 30, 2006.
Correct this in the current version by opening each class in Class Management and opening the options for each class. This resets the password setting.
Data Loss
- Some records that students have used are suddenly empty of data. How do I fix this?
Newer UltraKey records are not backward compatible to version 5.0.2. Opening records on UltraKey 5.0.2 after having saved them on UltraKey 5.0.4 may result in data loss.
If you have updated to version 5.0.3 or 5.0.4 from 5.0.2, this problem may have been triggered because the record was saved in UltraKey 5.0.4 or 5.0.3 and then opened and saved on a copy of UltraKey 5.0.2 that has not been updated.
Make sure all copies of UltraKey that records will be opened on are updated to the most current version and the version of UltraKey Data Server also matches.
If you are a home user and you access a data server at a school, make sure the school has updated their data server and workstations before you access records on the data server from an updated copy.
If you are updating school computers, be sure all copies of UltraKey are updated before students use the program again.
If you need to restore specific student records from the backup, call or email technical support for assistance.
